# Using the Email Inbox in COUNT

The Email Inbox shows every email forwarded to your workspace inbox address, what COUNT did with each attached file, and where that file ended up. Use it to check that a bill or receipt arrived, fix a document that was filed as the wrong type, and retry files that failed.

The Email Inbox replaces the Bill Email History button on the Bills page.

## Forward documents to COUNT

Send or forward any email with bills, receipts or other documents attached to your workspace inbox address. You don't need a particular subject line or message.

1. Find your inbox address. Go to **Settings → Invoice & Bill Settings → Bill Settings**. The **Inbox Address** field is under **Workspace Inbox**.
2. Forward or send the email to that address. It always ends in **@bills.getcount.com**.
3. Attach your documents. Each file can be up to 25 MB, and you can attach several files to one email. COUNT processes each file separately.

If an email has no attachment, COUNT reads the email body as the document.

To change your address, edit the **Inbox Address** field in the same place.

To get email alerts about your inbox, turn on **Receive Inbox Email Alerts** in **Settings → Notifications**.

## Where each document ends up

With document AI turned on (**Settings → Documents**), COUNT reads each file, works out what kind of document it is and files it in the right place.

| You forward | COUNT creates | Where to find it |
| ---- | ---- | ---- |
| A receipt (photo or PDF) | Receipt | **Receipts → Unmatched**, marked **Received by email** |
| A bill (PDF) | Bill | **Bills**, as a draft |
| A vendor credit note | Vendor Credit | **Bills → Vendor credits**, as a draft |
| A bank or credit card statement (PDF) | Bank or Credit Card Statement | The statement import screen, ready to import |
| Any other document, such as a contract or letter | A document of that type | **Documents → Inbox** folder |
| A CSV, TXT or XLSX file | Document | **Documents → Inbox** folder |
| An XLS, DOC or DOCX file | Document, marked Not classified | **Documents → Inbox** folder |

COUNT rejects files it can't use, such as .zip files and files larger than 25 MB.

If you forward the same bill twice, COUNT doesn't create a second bill. The second email is marked **Duplicated** and links to the bill you already have.

Receipts in a different currency from your card can still be matched. For example, a USD receipt can match an NZD card transaction.

## Open the Email Inbox

The Email Inbox isn't in the sidebar. You can open it from:

- The **Email Inbox** button at the top right of the Bills page
- The **Email Inbox** button next to **Add Receipt** on the Receipts page
- The **Email Inbox** link under **Workspace Inbox** in **Settings → Invoice & Bill Settings → Bill Settings**
- Search, by typing "email inbox" or "forwarded"

The back arrow next to the **Email Inbox** title takes you back to the page you came from.

## Check the status of forwarded emails

Emails are listed newest first. Each row shows the sender, subject, date received, how many files were attached (for example "2 files, 1 failed") and the email's status.

| Status | What it means |
| ---- | ---- |
| Processing | COUNT is still reading the files. The list updates by itself when it's done. |
| Succeeded | The files were processed and created in COUNT. |
| Duplicated | The document was already in COUNT, so nothing new was created. |
| Failed | Something went wrong while processing. You can retry the file. |
| Rejected | COUNT can't accept the file, for example because of its file type or size. Hover the ⓘ icon to see why. |

To show only some emails, use the **Status** filter to the left of the table. To clear the filter and go back to the first page, click the reset button (circular arrow).

## See an email's files and message

Click an email's row to see its files, and click again to close it.

For each file you'll see:

- Its name, size, document type and status
- The details COUNT read from it, such as vendor, document number, date and amount
- A link to what it created, such as **Open Bill**, **Open Vendor Credit**, **Open Receipts**, **Open Statement Import** or **Open in Documents**

If an email failed or was rejected, the reason is shown in a red box above its files. If you later deleted the bill, receipt or document a file created, the file is marked **Deleted**.

To read the original email, click **View Email**. You'll see the subject, sender, date received, status, the result of the sender check, the attached files and the message itself.

- Links in the email are disabled in this view.
- Images loaded from the web are hidden until you click **Show Images**.
- Images pasted into the email body show as "Embedded image" with their name, and can't be previewed yet.

## Fix a wrong document type or retry a failed file

If COUNT filed a document as the wrong type, for example a receipt as a bill, you can reclassify it.

1. Click the email's row to see its files.
2. Click **Reclassify** on the file.
3. Choose the correct type and submit.

COUNT removes what it created before (such as the draft bill) and imports the file again as the new type. The email shows **Processing** until it's done. Switching between Receipt and Payment Confirmation only changes the type; nothing is imported again.

Statement types can only be chosen for PDF files. With document AI turned off, you can choose only Bill or Vendor Credit.

You can't reclassify a file when:

- The bill it created has been approved or paid. Only draft bills can be reclassified.
- The receipt it created is matched to a transaction. Unmatch the receipt first, then try again.
- Transactions from the statement it created have already been imported.

If a file **Failed**, click **Retry** on that file. The email shows **Processing** and updates when it's done.

Rejected files can't be reclassified or retried. Fix the file, for example by saving it as a PDF or making it smaller than 25 MB, and forward it again.

## Who can use the Email Inbox

Access is controlled by two permissions, found in **Settings → Roles Management** under **Purchases → Inbox**. Roles that can manage bills have both by default.

| Permission | What it allows |
| ---- | ---- |
| View Inbox | Open the Email Inbox and see emails, files and messages |
| Manage Inbox | Reclassify and retry files |

Team members with View Inbox only can see the Reclassify and Retry buttons, but can't use them. Team members without View Inbox don't see the Email Inbox buttons or link, and can't open the page.

## Good to know

- **Open Receipts** opens your receipts list rather than the specific receipt, and **Open in Documents** opens the Inbox folder rather than the specific file.
- You can't search the email list yet. Use the **Status** filter to narrow it down.
- Images pasted into an email can't be previewed in **View Email** yet.
- Forwarded documents are filed in the **Inbox** folder in Documents, so avoid renaming or deleting that folder.
- Alert emails about failed documents may still refer to "Inbox Review". This is the same as the Email Inbox.
