# How to Invite a Team Member to Your Workspace

Need a colleague to help manage a client workspace in COUNT? If you’re using Practice Manager, you can invite team members to a specific workspace and assign the appropriate level of access.

You can also invite a client to their **Client Portal**, which is separate from giving them team member access to the workspace.

### Steps to Invite a Team Member
**Open the Client Workspace**
* From the **Practice Manager**, select **Clients**.
* Find and select the client workspace you want to manage.
* Click **View Workspace** to open the workspace.

**Go to Manage Team**
* From the left-hand navigation menu, click **Settings**.
* Under **Workspace Settings**, select **Client Access**.

The **Client Access** page has two sections: **Client Portal Access** and **Workspace Access**.

### Client Portal Access
Use **Client Portal Access** when you want to give a client access to their client portal.
* Click **Invite Client**.
* Enter the client's **First Name**, **Last Name**, and **Email**.
* Select the appropriate **Access** level.
* Click **Send Invite**.
Client Portal members have limited access to the workspace and are restricted to **Tasks and Documents**.

### Workspace Access
Use **Workspace Access** when you want to give someone access to the general ledger in COUNT.
* Under **Workspace Access**, click **Invite Team Member**.
* Enter the person's **First Name**, **Last Name**, and **Email**.
* Select the appropriate **Access** level.

You can assign a role such as **Owner**, **Accountant**, or another available role based on the access you want the team member to have.

|| **Note:** Inviting a **Team Member** gives the person access to the workspace based on the permissions you assign. This is different from inviting someone to the **Client Portal**, which is intended for clients to access their client-facing information and collaborate with your practice.

**Review Access Permissions (Optional)**
* Click **View Permissions** to review the permissions included with the selected access level.
* Make sure the team member has the appropriate access for their role and responsibilities.

### Inviting a Team Member as an Owner

If you select **Invite as Owner**, COUNT will display additional information about transferring workspace ownership and managing the firm’s subscription.
1. Under **Workspace Access**, click **Invite Team Member**.
2. Enter the person's **First Name**, **Last Name**, and **Email**.
3. Check the **Invite as Owner** box.

When you select this option, COUNT displays the following notice:

You will also need to select how the **Firm subscription** should be handled during the ownership transfer.

#### Choose a Firm Subscription Option
COUNT provides three options:

**1. Do not cancel (new owner inherits the subscription)**
The firm’s subscription continues after the ownership transfer, and billing remains with the firm. However, once the workspace is no longer practice-owned, the firm cannot cancel the subscription from its side. The new owner must take over the subscription.

**2. Cancel now (partial period may be charged)**
The firm’s subscription is canceled immediately, and the firm may be charged a prorated amount for the period used. The workspace will have no subscription until the new owner accepts the invitation and subscribes, which may leave a coverage gap.

**3. Cancel when the new owner accepts**
The firm continues to be billed until the new owner accepts the invitation. Once the invitation is accepted, the firm’s subscription is canceled. If the invitation is never accepted, the firm will continue to be billed.

|| Important: Review the subscription options carefully before sending an Owner invitation. Choose the option that best fits the intended billing arrangement and ownership handover.

After selecting the appropriate subscription option, click **Send Invite**.

The invited person will receive an email with instructions to accept the invitation. Once they accept, they become the workspace owner and the workspace is no longer practice-owned.

|| Note: An Owner invitation is different from assigning a regular workspace role such as Accountant. The Owner receives full access to the workspace and does not receive any additional roles through that invitation.


### Send the Invite
* Once you've reviewed the user's details and access, click **Send Invite**.
* The invited user will receive an email with instructions to join the workspace.

### Client Portal vs. Workspace Access
The two access options are intended for different purposes:
* **Client Portal:** For clients who only need access to client-facing **Tasks and Documents**.
* **Workspace Access:** For team members who need regular access to the COUNT workspace and its features based on their assigned role and permissions.

### What Happens Next?
* The invited user will receive an email with a sign-up link.
* Once they accept the invitation and create or access their COUNT account, they’ll have access based on the access level and permissions assigned to them.

| Pro-tip: You can manage or remove client and team member access at any time from **Settings → Client Access**.
###
