How to add People (Employees or Contractors) and Invite Them to the COUNT Go Mobile App

This article explains how to add people (employees or contractors) in COUNT and invite them to access the COUNT Go mobile app to manage payroll-related actions and time tracking.


Understanding Employees vs Contractors


In COUNT, you can add people under different worker types. The most common are Employees and Contractors.

  • Employees

Typically part of your internal team and work on an ongoing basis.

  • Contractors

Usually independent workers hired for specific tasks or projects.


Pro Tip: The process to add both Employees and Contractors is the same, but selecting the correct type ensures accurate organization and reporting.



Steps to Add a Contractor


  1. Go to Contacts & Products in the left-side menu.
  2. Click on People & Contractors.
  3. Select Add New from the top right of the screen.


You'll now see a form where you can enter all relevant contractor information. Here’s a quick overview of what you’ll need:


Contact & Address Information


Add the contractor's basic information like name, email, phone number, and mailing address.


Worker Type


Choose Employee as the worker type to correctly categorize them.


Or choose Contractor:


You can also choose from Volunteer, Donor, or Other—but selecting the right category ensures accurate record-keeping.

Compensation & Tax Details


Input their position, pay type (hourly, salary), wage, and tax info. This is essential for reporting and compliance.


Notes (Optional)


Use the Notes section to store internal remarks or reminders related to the contractor.


Optional Workforce Features ($6/month per person)


If you want to unlock full workforce management for this contractor, toggle on any of the following features:


  • Time Tracking (for logging work hours)
  • Sales Representative (assign and track sales)
  • Expense Claim Reporting (enable reimbursement workflows)
  • Payroll (full service including direct payments, tax deductions and payments)



Note: These features work via the COUNT mobile app for a seamless employee or contractor experience. Turning any of these features on will require you to enter the user's email address. Users will receive an email on the provided email address with guiding steps on how to activate the COUNT Go App. Learn more here.


Final Step


Once everything is filled in, click the orange “Add” button to save.


  • Employees will appear in the People & Contractors list.
  • Contractors will appear in both the People & Contractors list and the Vendor list.


How to Send Invitation Emails to Users


You can send the invitation email for COUNT and the COUNT Go mobile app.


  1. Navigate through the Left Sidebar

From the left sidebar, click Contacts & Products, then select People & Contractors. You’ll see a list of all people created in your workspace.


  1. Identify Invitation Status

In the Actions column:

  • green link icon means the user has already accepted their invitation and is connected.
  • green envelope icon means the invitation is still pending.


  1. Send the Invitation

Click the green envelope icon to send the invitation email to that user.

  1. Check User Status

Make sure the Active toggle in the same row is turned on — inactive users cannot receive invitations or use COUNT Go Mobile App.


What the employee receives in the email


In the invitation email, the employee will receive:

  • A welcome message from COUNT
  • Their login email
  • A temporary password
  • Instructions to download the COUNT mobile app
  • Next steps to complete their first login
