Managing your customer database effectively is a key element of running a successful business. In COUNT, adding a new customer ensures that you can manage their billing, sales, and tax information effortlessly. This guide will walk you through the steps to add a customer, allowing for accurate record-keeping and smooth communication.

Step-by-Step Guide to Adding a Customer

  1. Navigate to the Customers Page
From the dashboard, head to the Contacts & Products section. Here, you will find a tab labeled Customers. This page shows all your current customers and allows you to view, edit, or delete their information.

  2. Click 'Add Customer'
On the top-right corner of the Customers page, click the orange "Add Customer" button. This will open a form to input the customer’s details.

Customer Details

Enter the Customer’s Information
This is where you'll fill in all the essential details about the customer or business. Keeping this information up-to-date ensures smooth communication and accurate record-keeping.

  • Name of Business or Customer: The official name of the customer or company.

  • First Name & Last Name: If it's an individual, provide the primary contact’s first and last name.

  • Contact Email: Enter a valid email address for correspondence.

  • Mobile Number: Add the customer's phone number for direct communication.

Pro Tip: Always verify contact details for quick communication in case of invoicing issues or product/service inquiries.

Billing Address

Add Billing Information
Billing information is crucial for financial correspondence and invoicing. Be sure to enter this accurately to avoid any billing discrepancies:

  • Billing Address: The street address for invoicing.

  • Address 2 (Optional): Additional address details if applicable.

  • City, State, Postal Code

  • Country: Select the appropriate country from the dropdown.

Pro Tip: Ensure the billing address matches the official records to avoid delays in payments or shipments!

Shipping Address

Enter Shipping Information
If the customer’s shipping address is different from the billing address, enter that here. If it's the same, you can easily copy it over:

  • Copy from Billing Address: Click this option if the shipping address is the same.

  • Shipping Address, City, State, Postal Code

  • Country: Select from the dropdown.

Sales and Tax Information

Input Sales and Tax Details
This section helps with sales management and tax reporting. Make sure these fields are accurate for compliance and reporting purposes:

  • Tax Number: Add the customer’s tax identification number if applicable.

  • Assigned Sales Representative: Use the dropdown to select the sales rep responsible for managing the customer’s account. The list is pulled from linked accounts in the Vendors section.

Pro Tip: Assigning a sales representative ensures accountability and personalized service for your customers.

Additional Notes

Add Additional Information
Use the Notes section to input any extra information or special instructions about the customer. This could be useful for customer management, future interactions, or personalized service.

Pro Tip: Detailed notes can help your team provide better customer service by keeping track of unique preferences or previous conversations.

Finalizing the Customer Profile
