Importing your vendors or customers into COUNT saves you from manually entering data and ensures a faster onboarding process. By uploading a .csv or Excel file, you can quickly bring your entire database into the system with minimal effort. This article will guide you through the step-by-step process of importing vendors or customers.

Step-by-Step Guide to Importing Vendors or Customers:

  1. Navigate to the Relevant Page
    Start by heading to either the Vendors or Customers section, depending on what you're importing. You can find these under Contacts & Products.

  2. Click the Import Button
    In the top-right corner, you’ll see a downward-pointing arrow. Click it to open a dropdown menu, then select Import Vendors or Import Customers, depending on your choice.

Pro Tip: Ensure you’ve prepared your data file in .csv or Excel format beforehand. The first row should contain column names.

Uploading the File:

On the next screen, you’ll be prompted to upload your file. Click Upload to browse and select your .csv or Excel file. Once selected, click Next to proceed.

Pro Tip: Double-check that your file is correctly formatted. Each column should have a clear header in the first row, as this will help with the automatic mapping process.

Mapping Data

Map Your Data to COUNT’s Fields
After uploading your file, you’ll see a screen with three columns:

  • File Column: The columns from your uploaded file.

  • COUNT's Column: The corresponding fields in COUNT.

  • Match Status: Displays whether the system was able to automatically match the columns.

Automatic Matching: COUNT will automatically match the fields based on the column names in your file and its internal fields (same fields used when adding a vendor or customer manually). However, for any columns the system couldn't match, you’ll need to map them manually.

Manual Matching: Use the dropdowns in the COUNT's Column to select the appropriate field for any unmatched data.

Pro Tip: Be sure to review the column matches carefully, especially for critical fields like contact information and billing details, to avoid any errors during import.

Once all columns are properly mapped and the match statuses are correct, click Next to proceed. COUNT will now upload your vendors or customers into the system.

Pro Tip: If any errors occur during the import process, COUNT will notify you. You can then review and correct the data for a smooth import.
