AI Security, Permissions & Data Access
COUNT is designed to give you control over how AI tools access your workspace and accounting data.
Whether you are using COUNT’s built-in AI or connecting external AI assistants like Claude or ChatGPT, permissions and approvals help ensure access remains secure and intentional.
This article explains how AI access works, what permissions mean, and how to manage approvals.
How AI access works in COUNT
AI tools only interact with your COUNT workspace when permission has been granted.
Depending on how you use AI, access may happen in different ways:
AI type | How access works |
|---|---|
COUNT’s built-in AI | Access happens directly within your COUNT workspace |
Connected AI assistants (Claude, ChatGPT) | Access happens through approved COUNT connections |
In both cases, AI interactions are designed to work within authorized access and permissions.
Permissions and approvals
When an AI assistant needs access to COUNT data or wants to perform an action, you may be asked to approve the request.
For example, if you ask:
“List all transactions from last month”You may see a request such as:
“Claude wants to use List Transactions from COUNT”You can choose to:
Option | What it means |
|---|---|
Allow once | Grants access for a single request |
Always allow | Automatically approves future requests for that action |
This helps ensure you remain in control of how AI tools interact with your workspace.

What data can AI access?
AI tools only access the information needed to complete the request you make.
For example:
Request | Data used |
|---|---|
“List transactions from last month” | Transaction data |
“Show overdue invoices” | Invoice information |
“Summarize expenses this quarter” | Financial reporting data |
The information available depends on:
- Your COUNT workspace permissions
- Approved access settings
- The task being requested
Can AI take actions in COUNT?
Yes. Depending on the request, AI may help perform actions inside COUNT.
Examples may include:
- Creating records
- Updating information
- Assisting with accounting workflows
When an action requires approval, you may be asked to confirm before it runs.
This helps prevent unintended changes.
Managing or removing AI access
You can manage or remove AI access at any time.
Depending on your setup, this may include:
- Disconnecting an AI assistant from COUNT
- Updating permissions
- Revoking previously approved access
If you no longer want an AI assistant connected to your workspace, you can remove access from your integration settings.
Best practices for using AI securely
To help keep your workspace secure:
- Review permissions before approving requests
- Only connect trusted AI tools
- Regularly review connected integrations
- Verify important accounting changes before finalizing them
AI is designed to assist your workflow, but accounting decisions should still be reviewed by your team.
