How to Attach Job Codes to Time-Based Work in COUNT

In industries like construction, landscaping, and contracting, workers may perform different types of jobs that need to be tracked separately. For example, a contractor might spend hours pouring concrete, then switch to ditch digging, and later to pressure washing — each activity has a different job code for tax and reporting purposes.

COUNT makes it easy to track this by linking job codes to services. When employees log their hours, they can select the job code that matches the type of work performed. Firm owners and admins can then run reports to see how many hours were worked under each code.

Step 1: Create Services with Job Codes

  • Go to Contacts & Products > Products & Services from the left side bar.
  • Create a Service by following the guidelines in this article: How to Add a Product or Service in COUNT, while making sure the below guidelines are in place.
  • For better tracking can add Product/Service Name that includes the job code (e.g., 5215 – Concrete Work, 5645 – Carpentry General).
  • Set the Pricing Method to Hourly.
  • Enter the Hourly Rate in the Per Hour Price field.
  • Assign the service to an expense account (for example, Contract Labor).
  • Make sure the "Time Entry Service" checkbox is enabled.
  • Save the service by clicking "Add" at the bottom right side of the screen.

Repeat this process for each job code you want to track.

Pro Tip: Use the official job code in the service name. This makes it easier to reconcile reports later, especially if you need to submit data to regulators or insurance providers.

Step 2: Enable Time Tracking for Employees

  1. Go to Contacts & Products > People & Contractors.
  2. Select the relevant profile.
  3. Ensure Time Tracking is enabled.
  4. Save changes. Do the same for all profiles you want to enable time tracking.

This will enable the relevant employees or contractors to be able to log hours against specific services (job codes) through the COUNT mobile app. On the contrary, you can yourself log hours for them as well.

Step 3: Add Time Entries with Job Codes

Admins /Workspace Owners can add time in two places:

  • Method 1: From the Timesheets tab within an employee profile
  • Method 2: From the Time section in a project

For Method 1: When entering time through people profiles:

  1. Select the Employee in the People & Contractors tab from the left side bar.
  2. Go to the Timesheets tab
  3. For each project and service you can add a row and then add time (in hours) in the columns, that mention dates of the week.

For Method 2: When entering time through projects tab:

  1. Click on the relevant Project in the Projects tab from the left side bar
  2. Go to the Time tab, then click the orange Add Time button on the right side of the screen
  3. Add all the required details in the pop-up that appears and click save!

Step 4: Reporting on Job Codes

Firm owners can run Employee & Time Management reports in the Reports section. This allows you to see:

  • Total hours worked by job code (e.g., 40 hours concrete, 15 hours ditch digging)
  • Hours per employee per job code
  • Job code data across projects and pay periods

Pro Tip: Use consistent naming for services. For example, always format as CODE – Description (5215 – Concrete, 5645 – Carpentry). This keeps reports clean and avoids duplicates.

Example Workflow

  • A construction worker logs 6 hours of ditch digging (code 5230) and 2 hours of concrete work (code 5215) in a single day.
  • At payroll or reporting time, the firm owner pulls a report showing exactly how many hours were spent on each type of work.
  • The data is accurate for billing, tax reporting, and insurance purposes.

Final Notes

  • Products/Services = Job Codes. Think of each service in COUNT as a different job type that employees can track hours against.
  • Projects are optional. You can log time directly against job codes without linking them to a specific project.
  • The same setup works across construction, contracting, landscaping, or any industry where labor hours must be categorized by job type.

Pro Tip: If you manage many job codes, set them up once in Products & Services, then reuse them across all projects and employees.
