How to Create Project Templates in COUNT Practice Manager

If you regularly manage similar projects for multiple clients, creating a Project Template will save you time. Instead of manually building out each project and adding tasks one by one, you can set up a reusable template with predefined tasks. For example, if you need to prepare year-end tax returns for many clients, a template helps you create consistent projects quickly.


Create a New Project Template


  1. In Practice Manager, go to TemplatesProject Templates.
  2. Click New Template.


  1. Enter a name for your Template and Description. (e.g., year-end tax return).
  2. Click Next.


Add Tasks to the Template


  1. Open the new template and go to the Tasks tab.
  2. Click Add Task and enter task details. For example: (e.g., Upload Bank Statements)
  3. Repeat until all required tasks are added.
  4. Click Save Template.


When creating a project template, you can organize work into Task Lists. A Task List is a group of related tasks that belong to the same phase or category. For example, you might have one Task List for collecting client documents and another for preparing the final reports.


Using the Project Template


  1. Go to Templates.
  2. Find your saved template (e.g., Year-End Tax Return) in the list.  
  3. Click Create Project. 
  4. Choose whether to create the project for One Client or for Many Clients
  5. COUNT will automatically create the project with all predefined tasks.

  1. Enter a project name.
  2. Select the Start Date and End Date for the project.
  3. Under Client, choose the client who will be assigned to this project.
  4. Set the Project Status (e.g., In Progress).
  5. Set the Task Status (e.g., In Progress).
  6. (Optional) Add any Notes with extra details.
  7. Click Create to finalize and assign the project.


Why use the Project Templates?


  • Save time by not recreating projects manually.
  • Ensure consistency across clients and recurring processes.
  • Improve accuracy by making sure important tasks are never missed.


Pro Tip: In COUNT, you can create as many project templates as you need for recurring services and workflows. Each time you use a template, COUNT automatically generates the project with all predefined tasks, saving you time and ensuring consistency across clients.



Below are some examples of how you can use project templates:


  • Year-End Tax Return – Collect documents, reconcile accounts, and prepare filings.
  • Monthly Bookkeeping Workflow – Request bank statements, reconcile transactions, and generate financial reports.
  • Client Onboarding – Gather initial client information, set up accounts, and schedule welcome calls.
  • Marketing Campaign – Plan tasks, assign deadlines, and track deliverables.
  • Quarterly Review – Prepare reports, schedule meetings, and share results with stakeholders.
