How to set up Intercompany workspaces in COUNT
Link two COUNT workspaces so that money moving between your companies is recorded in both sets of books at once. This article covers choosing a mode, creating and accepting a link, the accounts COUNT adds, and pausing or ending a link.
At a glance
Where to find it | Settings > Workspace Settings > Intercompany |
What you need | Two COUNT workspaces that use the same currency, and membership in both |
Who can link, accept, pause and end links | Owners and admins |
Who can post and void entries | Owners, admins and Accounts Approve & Pay, on both workspaces |
What Intercompany is for
If you run more than one business, money moves between them all the time. The holding company funds a new café, the café pays some of it back, or someone puts one company's supplier invoice on the other company's card.
Without a link, each movement has to be recorded twice, usually by different people on different days. The two sides drift apart, and at year end the amount one company says it is owed no longer matches what the other says it owes.
Once two workspaces are linked, you record the movement once and COUNT writes both sides together. If one side can't be written, neither is. COUNT then checks every night that the balances still agree.
With a link in place you can:
- Transfer money from one company to the other, as a loan or as owner equity.
- Settle a loan balance, fully or in part.
- Recode an expense one company paid for to the company it belongs to, receipts included.
- Match real bank feed rows on both sides, so nothing is entered twice.
- See every entry between the two companies in one list, and void any of them on both sides at once.
- Spot disagreements with a nightly balance check, and write off or dispute what can't be recovered.
- Run consolidated reports where balances between linked companies cancel out.
Recording and managing these entries is covered in How to record and manage intercompany transactions in COUNT.
Before you start
- You must be a member of both workspaces. COUNT only offers workspaces you already belong to when you create a link.
- Both workspaces must use the same currency. Links between currencies aren't supported yet.
- Check your role. Owners and admins can create, accept, pause and end links. To post or void entries you need to be an owner, admin or Accounts Approve & Pay on both workspaces, because each entry changes both sets of books.
- Each pair of workspaces has one link. A workspace can be linked to several others, one link per pair. Each link has its own entries, balances and drift check.
Choose Loan or Owner Equity
Every link has a mode, which decides the accounts COUNT posts to. You choose it when you create the link, and most people pick Loan.
Mode | How it records a transfer | Best for |
|---|---|---|
Loan | The sending company records an amount it is owed (Due From) and the receiving company records an amount it owes (Due To). Balances settle over time, and COUNT checks every night that the two sides agree. | Separate companies that lend to each other or cover each other's costs |
Owner Equity | The sending company records an owner's draw and the receiving company records an owner's contribution. Nothing is owed, so there are no settlements. | An owner moving capital between their own businesses with no expectation of repayment |
The mode can't be changed later. To switch, you'd have to void the link's entries, end the link and create a new one. If you're not sure which to pick, ask your accountant before you link. |
Link your workspaces
- Open the first workspace and go to Settings > Intercompany.
- Click Link a Workspace.

- Under Counterparty Workspace, pick the other company. The list only shows workspaces you belong to that use the same currency and aren't linked yet.
- Choose the Mode: Loan or Owner Equity.
- Click Link Workspace.

If you're an owner or admin on both workspaces, the link is active straight away.
Accept a pending link
If you're not an owner or admin on both sides, the link shows as Pending until someone on the other side accepts it. Everyone in that workspace gets a notification. Nobody can post entries until the link is accepted.
To accept, an owner or admin of the other workspace:
- Opens Settings > Intercompany.
- Clicks the Accept icon on the link.
- Clicks Accept Link.
Changed your mind? Cancel the request from the same list.
Accounts COUNT adds for you
Every workspace already has three intercompany accounts in its chart of accounts. When a Loan link becomes active, COUNT adds a sub-account under each one for that specific company, so you can see at a glance who owes what.
Parent account | Usual code | Sub-account added per link | Type |
|---|---|---|---|
Intercompany Receivable | 1110 | Due From [other company] | Asset |
Intercompany Payable | 2010 | Due To [other company] | Liability |
Bad Debt - Intercompany | 6200 | Added only if you ever write off a balance | Expense |
- Codes can differ. New Zealand workspaces use 6120, 8010 and 403. If a code is already taken, COUNT uses the next free number (1111, for example).
- Owner Equity links use Owner's Draws - Intercompany with [company] and Owner's Contributions - Intercompany with [company] instead.
Only post to these accounts through Intercompany. Don't categorize everyday transactions into them by hand. A manual entry won't appear on the other company's books, and it's the most common cause of the two sides drifting apart.
Pause, resume or end a link
Open the link and use the buttons at the top, or the icons in Settings > Intercompany.
- Pause stops anyone posting new entries. Existing entries stay as they are.
- Resume turns posting back on.
- Revoke ends the link for good and can't be undone. You must void every posted entry on the link's Events tab first (see How to record and manage intercompany transactions in COUNT).
While a workspace has a link that hasn't been revoked, its currency can't be changed.

If the other workspace is deleted
The link pauses on its own. You can still view everything, void entries, and write off the leftover balance from the Drift tab. Then revoke the link.
Common questions and fixes
The other company isn't in the Counterparty Workspace list
You're not a member of that workspace, it uses a different currency, or the two are already linked. Check the list in Settings > Intercompany, including Pending links.
I can't see Intercompany in Settings, or there's no Link a Workspace button
- You need to be an owner or admin of the workspace. Ask the owner to change your role, or to create the link.
Can I link workspaces with different currencies?
- Not yet. Both workspaces need the same currency.
Can one workspace be linked to several others?
- Yes. Create one link for each pair. Each link has its own entries, balances and drift check.
Can I change a link's mode?
- No. To switch between Loan and Owner Equity, void the link's entries, revoke the link and create a new one in the other mode.
COUNT won't let me revoke the link
- The link still has posted entries. Void them on the link's Events tab, then revoke.
Still stuck? Reach COUNT Support through Help Center in the app sidebar. Tell us both workspace names and, for a specific entry, its date and amount.
