Exporting data from Xero & Migrating to COUNT

Exporting your data from Xero is a straightforward process that ensures a smooth transition to COUNT. Below is a step-by-step guide on how to export your Chart of Accounts, Contacts, Products and Services, and Historical Transactions from Xero.




1. Exporting the Chart of Accounts


Your Chart of Accounts is essential for organizing your financial data. To export it from Xero:


  1. Log in to your Xero account.
  2. Navigate to the Accounting menu and select Advanced.
  3. Click on Chart of accounts.
  4. Click the Export button.


This will download your Chart of Accounts as a CSV file, which you can then import into COUNT. Learn more at Xero Central



2. Exporting Contacts


To export your contacts, including customers, employees, and suppliers:


  1. In the Contacts menu, select the group of contacts you want to export. For example, to export all contacts, select All contacts.
  2. Click on the Export button.


This will download a CSV file containing your selected contacts. Learn more at Xero Central



3. Exporting Products and Services


To export your inventory items:


  1. In the Business menu, select Products and services.
  2. Click on the Export button.


This will download a CSV file of your products and services.



4. Exporting Historical Transactions


To export your historical transactions:


  1. In the Accounting menu, select Reports.
  2. Find and open the Account Transactions report.
  3. Customize the report as needed to include the desired date range and accounts.
  4. Click the Export button and choose your preferred format (e.g., CSV).

By following these steps, you can ensure a seamless migration of your financial data from Xero to COUNT.


Exporting Additional Data from Xero


In addition to exporting your Chart of Accounts, Contacts, Products & Services, and Historical Transactions, you'll also need to export your Invoices, Bills, and Trial Balance before migrating to COUNT.


Export Trial Balance


The Trial Balance provides a snapshot of your account balances and is useful for verifying your financial data after migration.

  1. Go to Reporting.
  2. Select All reports.
  3. Search for Trial Balance and open the report.




  1. Review the report date and make any adjustments if needed.
  2. Click Export in the bottom-right corner.
  3. Choose your preferred format (Excel or PDF) and save the file.



Export Invoices (Sales)


  1. In Xero, navigate to Sales → Invoices.
  2. Click Export in the top-right corner.
  3. Select the export format (CSV is recommended).
  4. Save the exported file to your computer.



ProTip: As part of the migration process, you only need to import open (unpaid) invoices as of your migration cut-over date. The total outstanding balance of these invoices should match the Accounts Receivable balance shown in your Trial Balance.


Export Bills (Purchases)


  1. Go to Purchases → Bills.
  2. Click the ⋮ (More) menu in the upper-right corner.
  3. Select Export bills.
  4. Save the exported CSV file.




ProTip: As part of the migration process, you only need to import open (unpaid) bills as of your migration cut-over date. The total outstanding balance of these bills should match the Accounts Payable balance shown in your Trial Balance.
