How Notifications Work in COUNT
COUNT keeps you up to date in two ways: In App notifications (bell icon) and emails. This article explains what each one covers, who receives it, and which settings control it.
In-App notifications are for activity in your workspace that you may need to act on, such as tasks, comments, AI agents and intercompany links. Emails cover sign-in and security, invitations, invoices, payroll, and anything that needs to reach someone outside COUNT, like your customers.
Some events do both. For example, when a task is assigned to you, you get an In-App notification and an email.
In-App notifications
Select the bell icon in COUNT to see your In-App notifications.
For AI agents, you can act right from the In-App notification: approve or reject a proposed action, or answer an agent's question, without opening the agent.
Area | You're notified when | Who gets it |
|---|---|---|
Tasks | A task is assigned or reassigned to you, someone comments on your task, @mentions you in a task comment, or replies to a task email. A task you assigned is completed. | The assignee, the person who assigned the task, or the person mentioned |
Transactions | You're @mentioned in a comment, someone comments on a thread you follow, or you're asked a question with Ask a question | The person mentioned, everyone already in the thread, or the person asked |
Invoices | An invoice is fully paid (online, manual, bank match or credit), or an online bank-debit (ACH) payment fails | Every workspace member |
Bank statements and imports | Uploaded statements finish reading, or a QuickBooks transaction import completes, finishes with errors, or fails | The person who uploaded the statements or started the import |
Opening balances | A published conversion (opening) balance is edited, re-imported or removed | Owners and admins |
Recurring expenses | A recurring charge goes up by more than the alert threshold (10% by default) | Every workspace member |
Intercompany | A link is proposed, accepted, paused, resumed or revoked. An entry is posted, voided, charged across or written off. A write-off is disputed. The two sides are out of sync. | Both workspaces, or the other workspace for proposals and write-offs |
AI agents | An agent needs approval, has a question, is blocked, is waiting for your guidance, finishes, stops at its limit, fails, or doesn't have enough AI credits | The person who started the agent |
If one side writes off an out-of-balance intercompany amount, the other workspace has 30 days to dispute it. |
Email notifications
COUNT sends emails to you and your team, and on your behalf to customers, clients and employees.
Emails to you and your team
Area | You get an email when | Who gets it |
|---|---|---|
Account and sign-in | You sign up, sign in with two-step login, reset your password, or change your login email. Someone tries to register with your email. | You. When you change your login email, the new address gets a code and the old address gets a security notice. |
Invitations | You're invited to a workspace, to a firm's team, or to own a client workspace. A workspace invites your accounting firm. | The person invited, or the firm's owner |
Workspace and people | You're added to a workspace with send email chosen. A support-assisted setup is requested or finished. A paid workspace is deleted. A published conversion balance changes. A client list import finishes. | The person added, the requester or owner, owners and admins, or the firm owner |

Invoices and payments | An online payment succeeds, an invoice email bounces, or an invoice or estimate matches an automation rule | Your alert addresses (or the owner), the owner and workspace email, or the addresses in the rule |
Bills | A bill is created from a forwarded email. A payment batch needs your approval or is ready. | Your alert addresses (or the owner), each approver, or the batch creator |

Managing your notifications
Most notifications are sent automatically based on your role in the activity, like being the assignee or the person who started an agent. These settings let you control where emails go and when they're sent.
Setting | What it controls |
|---|---|
Daily task summary | A once-a-day email of your open tasks. It's sent only when both the workspace switch and your personal switch are on. |
Alert addresses | Where Invoice paid and Bill received by email emails go. If none are set, they go to the owner. |
Intercompany alert addresses | Where intercompany emails go. If none are set, they go to the owner. |
Payroll notification address | Where payroll deadline and auto-submit reminders go, and how many days before the deadline they're sent |
Automation rules | Emails to the addresses you choose when an invoice or estimate changes status, or when product stock meets a condition |
Payment reminder schedule | When customers get payment reminders for unpaid invoices |
Email customer (recurring invoices) | Whether each invoice created by a recurring schedule is emailed to the customer |
Recurring expense alert threshold | How much a recurring charge must rise before everyone is notified. The default is 10%. |
Account and sign-in emails, like login security codes and password resets, are sent whenever the action happens. The login security code is skipped only when you sign in on a remembered device. |
Frequently asked questions
You don't get an In-App notification for recurring tasks, template tasks, bill approval tasks or tasks created by an AI agent. You also aren't notified when you create a task for yourself.
For In-App notifications, the person who assigned a task is always notified when it's done, even if they completed it. By email, the creator and assigner are notified, except whoever completed it.
Invoice paid notifications aren't sent for invoices brought in during a QuickBooks import. The email version goes to your alert addresses, so check that yours are set up.
If an invoice email bounces, COUNT emails the owner and the workspace email so you can fix the address and send it again.
The code is skipped when you sign in on a device COUNT remembers.
Balances out of sync is an In-App notification only. Every other intercompany event is also emailed to your intercompany alert addresses.
