Setting Up COUNT with the Launchpad (Import Your Data)

COUNT’s Launchpad provides an intuitive onboarding experience, helping you set up your workspace, import critical data, and get started efficiently. This guide will walk you through the onboarding steps in the correct sequence, ensuring a smooth and hassle-free setup process.

How Do You Want to Get Started?

When you open the onboarding flow, decide whether you want to create a new set of books or migrate existing accounting data.

Select option:

  • Import Your Data: Transfer your books from QuickBooks, Xero, or another platform using the guided setup.

After selecting your preferred option, click Continue.

Step 1: Set Migration Details

Your onboarding steps will depend on the platform you currently use. Configure your migration settings:

  1. Previous Account Software: Select your previous accounting software, if it is not listed please select "Other"
  2. Cutover Date: Enter the date when you’ll stop using your previous accounting system and begin using COUNT. Make sure your previous books are reconciled through this date.
  3. First Month of Financial Year: Select the month when your fiscal year begins.
  4. Default Reporting Basis: Choose whether COUNT should generate reports using the accrual or cash basis by default.

Select Continue to proceed with the import process.

Connect QuickBooks Online (For Quickbooks Users Only)

COUNT integrates directly with QuickBooks Online. This connection allows QBO users to securely connect their account and migrate their accounting data directly into COUNT. You will simple need to log in to your QBO account.

After connecting QuickBooks Online and select the account you want to migrate (if you have multiple accounts in QBO).

Once connected, you need to select the records you want to migrate and begin the import. Chart of Accounts and Trial Balance are the ones required, other records are optional but we do recommend importing them. Click start import after making the selection.

Go to "Step 5" in this article for next steps on QBO.

If you use Xero or another accounting platform, follow the standard onboarding path. You’ll import your data manually using CSV files

Step 2 (Users Xero or Others): Import Chart of Accounts

If you selected Xero or Other Platform, COUNT will guide you through the standard manual import process.

Begin by selecting Import Accounts. Upload your Chart of Accounts CSV file, match its columns to the corresponding fields in COUNT, and review the information before completing the import. Learn more: How to Import Your Chart Of Accounts Into COUNT

Step 3 (Xero or Other Users): Import Trial Balance

Next, import your trial balance to establish the opening balances for your accounts as of your cutover date. Select Import Trial Balance and upload your trial balance CSV file. Match each row in your file to the appropriate COUNT account and review the totals before completing the import.

Your trial balance should reflect the balances from your previous accounting system as of the date you moved your books to COUNT.

Step 4: Import Contacts & Products

Import the customer, vendor, and product information you want to bring into COUNT. Follow the prompts in Launchpad to upload and review the applicable records from your previous accounting system.

Review the imported information before continuing to ensure that your contacts and products are available in your COUNT workspace.

Step 5: Review Outstanding Invoices

Review any customer invoices and vendor bills that were still unpaid as of your cutover date, the date you stopped using your previous accounting system and began using COUNT.

  • Outstanding invoices: Include customer invoices that were unpaid on the cutover date. This ensures that your opening Accounts Receivable balance matches your previous records.

Step 6: Review Outstanding Bills

  • Outstanding bills: Include vendor or supplier bills that were unpaid on the cutover date. This ensures that your opening Accounts Payable balance matches your previous records.

Only include invoices and bills that were outstanding when you moved to COUNT. Any new invoices or bills dated after the cutover date can be added after onboarding is complete.

When COUNT confirms that all outstanding balances are accounted for, select Continue.

Step 7: Connect Your Bank Accounts

Select your financial institution, sign in securely, and choose the accounts you want to connect to COUNT. Connecting your accounts allows COUNT to automatically sync transactions and keep your financial records up to date.

You can add or change bank connections later. If you’re not ready to connect an account, select Skip for Now. You’ll also have the option to import transactions later using CSV or PDF bank statements.

Step 8: Invite Team Members

Invite an accountant, bookkeeper, or team member to collaborate in your COUNT workspace. The status next to each option shows whether access has already been granted.

If you’re not ready to invite anyone, you can add collaborators later. Select Continue to complete this step.

Take a Quick Tour

Select Continue to take a guided tour of COUNT and learn how to navigate the platform.

Important: Make sure to click Complete Onboarding at the end of the process. This is a very important step, as it officially completes the Launchpad setup for the workspace.
